Create and sign the EU Declaration of Conformity (DoC)

Easily generate your EU Declaration of Conformity (CE) or UK Declaration of Conformity (UKCA) from your technical file within ProductIP in multiple languages.

This functionality is available for all plans. 

If you cannot access it, please contact your administrator.

Before you begin

  • Set up your company account settings (company address, contact details, brand and logo)
  • Manage the articles in your technical file
  • Manage the sales region(s) in your technical file
  • Manage the requirement statuses in your technical file
  • Manage the transitional requirements in your technical file
  • (Optionally) Set up digital signatures for document signing

Steps

  1. Check if your product qualifies for a declaration of conformity
    • If your product is not subject to CE/UKCA legislation you cannot create a declaration of conformity. The button to create it will not be visible.
    • This also means that the EU Declaration of conformity or the UK Declaration of conformity is not a requested document in your requirement list.
  2. Generate the declaration
    • Open your technical file and go to the Requirements tab. You will see all applicable requirements.
    • Click EU Declaration of Conformity or UKCA Declaration of Conformity above the requirements.
    • Follow the wizard to fill in following required product data:
      • Mandatory data fields for your declaration. After filling all mandatory fields, click outside of the last data field. If your inputs are accepted, the "Continue" button will appear.
      • Representative and Manufacturer
      • Products to include
      • Languages for your declaration
      • Declaration Signer(s)
      • Issue date
      • Digital signatures (optional)
      • Enter the position for each signer. Optionally use the auto-translate function to translate into other languages. Auto-translation may not be available for all languages.
    • Review the declaration preview in all selected languages.
  3. Export or attach the declaration. Choose one of the following:
    1. Download as HTML – edit in Word
    2. Download as PDF – ready to share
    3. Add to Technical File – automatically linked it to the related requirements.

Optional: Review the declaration again under the Documents tab.


Tips and best practices

  • Use approved company details and logos to keep your documents consistent
  • Maintain separate technical files and declarations for EU and UK products post-Brexit.
  • Always verify that all relevant CE/UKCA requirements are completed before generating the declaration.


Troubleshooting

  • Button to generate the declaration not visible

Cause: Your product is not subject to CE/UKCA legislation you cannot create a declaration of conformity. Solution: Verify if your product is covered by CE/UKCA legislation by checking if the Declaration of Conformity is a requested document in your requirement list. If you are still in doubt, verify if you have selected the correct product category. Consult „Related articles“ for more guidance on how to update the product category.

FAQ

  • How do I create a declaration for both EU and UK markets?
    Create two separate technical files — one for the EU and one for the UK — and repeat the steps in each technical file. See related article on sales region(s) to learn more.
  • Why is my declaration asking me to fill in certain mandatory fields?
    Depending on the product category you have selected, legislation may require different sets of data to be put on your declaration. Examples are the firmware version of the software, the noise emission level of a machine or the notified body of a personal protection equipment product. Check which of your requirements are flagged with a blue „DOC“ and open the related information (info button) of the requirements to learn more.
