Invite account users

Each colleague has their own account, but you can invite your colleagues to join your company account on the ProductIP platform so that you can work together on Technical Files. All users associated with the company account can view and process the file or document requests.


Feature access

Only users with the Administrator role can invite new colleagues. This feature is available for Essential, Advanced, Professional and Enterprise customers.


Before you begin

  • Prepare the colleague’s email address, full name, and an optional welcome message.
  • Make sure their email domain is already added to your company account domains (if applicable).
  • Remember: each user can only be connected to one company account. If you invite someone who is already part of another company account, they will see the invitation but can only reject it (not accept it).

Steps

1. Go to Settings (the wrench icon) in the top-right corner of your screen.

2. Select Company account.

3. Open the Users tab.

4. Click Invite user.

5. Fill in the required fields:

  • E-mail address
  • First and last name
  • Short message (optional, e.g., a personal note or instructions)

6. Click Send invitation.

7. Your colleague will receive an invitation email to join the company account on ProductIP.

8. You will receive an email requesting approval for access to your company account. Verify the account request and grant your colleague access to the account by clicking ACCEPT THIS USER.

9. Track invitations in the Users tab, where you can see:

  • When the invitation was sent
  • Whether it has been accepted
  • Option to resend the invitation if needed


Tips and best practices

  • Use a short, clear message in your invitation so colleagues understand why they are joining ProductIP.
  • If the colleague doesn’t receive the invitation, remind them to check their spam folder.
  • Resend invitations for colleagues who haven’t yet responded.


Troubleshooting

  • User can’t register? 

           Make sure their email domain is allowed in your company Domains.

  • Invitation email not received? 

           Confirm the email address and ask your colleague to check their spam folder.

  • Invitation expired? 

           Resend the invitation from the Users tab.

  • User can’t accept the invite? 

Check if they are already connected to another company account. If so, they can only reject the invitation.

FAQ

  • Can I invite multiple colleagues at once? 

            Yes, you can send multiple invitations by entering each colleague’s details one by one.

  • Can I revoke an invitation? 

            Yes, administrators can cancel pending invitations from the Users tab before they are accepted.
