Requirement fulfillments help you automatically mark requirements as fulfilled or excluded in technical files. Use them to save time, reduce manual work, and manage recurring exceptions or transition periods consistently across all technical files.
Feature access
Only users with the Administrator role can manage requirement fulfillments.
This feature is available for all ProductIP plans.
Before you begin
Before using requirement fulfillments, make sure that:
- You have Administrator permissions
- The relevant requirements already exist in ProductIP
- You know which requirements should be fulfilled or excluded automatically

Steps
1. Go to Settings.
2. Select Regulatory settings.
3. Open the Requirement fulfillments tab.
4. Click Add requirement.
5. Search for and select one or more requirements.
6. Choose how the requirement should be handled:
- Select Excluded
- Select Fulfilled with document or message. If selected, you can add a document or image as evidence.
7. (Optional) Select Apply to all versions to apply the fulfillment to all past, present, and future versions of the requirement.
8. (Optional) Restrict the fulfillment by selecting one or more:
- Product categories
- File groups
- Risk levels
- Projects
9. Add a message or upload a document if required. A message is mandatory when declaring a requirement as Excluded.
10. Click Save.
The requirement fulfillment is now stored and will be applied automatically to all new and updated technical files.
Manage existing requirement fulfillments
- To edit a fulfillment, select it in the overview, make your changes, click Save, and return to the overview.
- To delete a fulfillment, click the bin icon in the corresponding row and confirm the deletion.
- Use the search bar on the right to find specific requirement fulfillments.
- Use the settings icon next to the search bar to open the grid column selector or reset the grid view.
Tips and best practices
- Use requirement fulfillments for recurring situations, such as supplier-specific agreements or transition periods.
- Apply restrictions carefully to avoid excluding requirements too broadly.
- Use clear messages so your team understands why a requirement is fulfilled or excluded automatically.
Troubleshooting
- My requirement is not updated automatically
Requirement fulfillments only apply to requirements that have no document, no note, and are not already marked as fulfilled or not applicable. The status in the technical file overrules the automatic fulfillments.
- My manual change was overwritten
This cannot happen. Manual notes, documents, or status changes always take priority over automatic fulfillments.
- The fulfillment does not apply to an existing technical file
Requirement fulfillments are applied when creating a new technical file or when you update an existing technical file by changing the market release date, region, or product category.

They are applied to new technical files and to existing technical files when you change the market release date, region, or product category.
- Can I still make exceptions manually?
Yes. Any manual note, document, or status change will block automatic fulfillments for that requirement in that technical file.
