Organise pre-draft technical files

A pre-draft technical file lets you prepare product data before creating an active technical file. You can use it to organise information, merge similar products, or prepare a file request. Pre-drafts are free to create. You are only charged when you activate the file.

Feature access

This feature is available to all ProductIP users and all plans.


Before you begin

Make sure you have access to the Technical Files tab in ProductIP.

Prepare basic product information:

  • Article number
  • Product name
  • Market release date

Steps

There are two ways to create a pre-draft technical file.

I. Create a pre-draft technical file manually

  1. Go to the Technical Files tab and click Create a new Technical File.
  2. If a window with pending file request appears, click Create other technical file in the bottom-right corner. If it does not appear, you will be taken to the New Technical File Wizard (1/7).
  3. Enter the required (marked with *) product details:
    • Article number
    • Product name
    • Market release date
  4. Click Create pre-draft file in the bottom-right corner. (If you want to create a a draft technical file, click Next in the bottom-left corner.)
  5. Complete the 7 steps in the wizard to create a pre-draft technical file. You can find the pre-draft technical file in the technical file overview.

II. Create a pre-draft technical file via import

See Import data via ExcelImported data will always appear as a pre-draft technical file in your account.


Check if all information is available in the pre-draft. If information is missing, follow the steps to update the pre-draft.

  1. Select the pre-draft technical file.
  2. Select the related action from the drop-down list of Choose action.
  3. Click Execute.


Follow the steps to delete a pre-draft.

  1. Select the pre-draft technical file.
  2. Select Delete pre-draft files from the drop-down list of Choose action.
  3. Click Execute.

Tips and best practices

  • Use pre-drafts to prepare data without using credits.
  • Review all data before activating or merging flles.
  • Use imports to update multiple pre-drafts at once.
  • Send a file request after creating a pre-draft to collect supplier data.


Troubleshooting

  • Pre-draft technical files not visible?
    Refresh the page or check the Status column in the overview.
  • Cannot create or update a pre-draft?
    Make sure your user role has the necessary permissions for creating or editing technical files.

FAQ

  • Is a pre-draft a complete technical file?
    No. A pre-draft is inactive and incomplete. You must activate it, upload compliance documents, and link them to applicable requirements.
  • When am I charged for a technical file?
    You are only charged when the pre-draft technical file is activated.
