Adding an inspection helps you document audits, quality checks, and verification activities related to your product. It keeps your technical file complete and gives you and your team clear insight into inspection history and results—essential when tracking compliance and production quality.
Feature access
Only users with user-group access and the required permissions can view, add, edit, delete and close inspections. The feature is available for Advanced, Professional and Enterprise plans.
Before you begin
Open the technical file you want to update.
Ensure your product articles are already added to the technical file.
Inspection documents must be uploaded in PDF, JPG, JPEG or PNG format.

Steps
Create an inspection
- Go to the Inspections tab.
- Click Add inspection.
- Select the articles the inspection applies to.
- Click Next.
- Choose the Type of inspection from the dropdown menu.
- Fill in the required (*) fields in the pop-up window.
- Enter the Quotation number, Order number, and Batch ID if available.
- Add a clear Description to explain the purpose, scope, or outcome of the inspection.
- Click Save to add the inspection.
The inspection now appears in your inspection overview with key details such as Services, Status, Creation date and Result once available.

Complete an inspection
1. Click the
icon on the left side of the inspection to view detailed information about this inspection.
2. Click the inspection under Services, fill in the expected completion date (required) and click Start to start inspection.
3. Click the left button
Upload document on the screen to upload documents required by the inspection.
4. Click the right button Close inspection on the screen after uploading. Fill in the required (*) fields and click Save. You can also upload documents by clicking the
icon on the right side. Click the button
Add document to upload documents required by the inspection. Then fill in the required (*) fields and click Save to close inspection.
Other icons/functions
Click the
to delete the inspection.
Click the
to edit the inspection parameters and click Save to confirm.
Click the
to change article selection and click Save to confirm.
Tips and best practices
- Always add the Batch ID when available. This helps link inspections directly to specific production runs.
- Use clear descriptions, especially when the inspection is part of a larger audit or multi-step evaluation.
- Upload the final inspection reports as soon as they are available to keep the technical file up to date.
- Keep your inspection list organised by using the find/search field when working with multiple entries.
Troubleshooting
- I cannot find the inspection type I need.
Use the dropdown to scroll through all options. If the inspection type is missing, contact us via helpdesk@productip.com.
- No product articles appear in the first step.
Ensure the technical file contains product articles. You can add or update articles from the Product tab.
- I cannot upload documents.
First save the inspection, then use the Upload document and close inspection action to attach files.

FAQ
- Can I edit an inspection after saving it?
Yes. Use the Edit button in the inspection list to update details. However, you cannot edit or delete an inspection after completing it. Neither the result nor the documents can be changed. You can only add new inspections.
- How do I upload the final report?
Click Upload document and close inspection to attach the report and mark the inspection as completed.
- Can I add multiple inspections to the same product article?
Yes, you can add as many inspections as needed—ideal for ongoing production monitoring or repeated audits.
