The timeline provides a complete overview of all activities within a technical file. It shows when the file was created, by whom, and every action taken - such as uploading documents, adding requirements, or communicating with suppliers.
Feature access
All ProductIP users with access to a technical file can view the timeline. Adding or editing items in the timeline (such as notes, tasks, or comments) depends on your user role and file permissions. This feature is available for all plans.
Before you begin
Ensure you have the correct user rights if you want to add or edit information in the timeline.

Steps
- Open your Technical File in ProductIP.
- Go to the Timeline tab. The timeline shows a chronological history of all actions taken in the file.
- Review file history. You’ll see:
- When the file was created and by whom.
- Every document upload (by you, your team, or suppliers).
- When requirements were added, changed, or marked as excluded.
- Notes, comments, and communication between users.
4. Use the open activities panel.
- The top section displays open tasks and notes.
- If a supplier has completed a task but some documents are missing, click the Reopen symbol.
- You can also edit and remove tasks and notes.

- Regularly review open activities to keep tasks up to date.
- Use the timeline as your single source of truth for all file-related actions.
- Keep communication within the platform rather than by email for full traceability.
- This functionality ensures full traceability, supporting transparency, governance, and compliance when demonstrating to authorities what happened in a file and who performed which actions.
Troubleshooting
- Can’t find an action in the timeline?
Use the Reset button next to the Search bar. Filter might be applied from a previous check.
- Timeline not updating?
Refresh your browser or verify that your user role allows you to view all entries.
- Supplier not receiving notifications?
Ask the supplier to check their email spam folder and ensure their ProductIP notification settings are enabled.

FAQ
- What is the difference between and Task and a Note?
A task can be assigned to a colleague or someone outside your company. They will receive an email from our platform containing the Additional information you have provided. A Note is like a post-it note in your technical file. It is an internal reminder for the person working on the technical file.
