Link your documents in the requirements tab

Link your compliance proof directly to the specific requirements in the requirements tab. It can be done one by one or in batch. 

Feature access 
Available to all ProductIP users with access to the Requirements tab. 

Before you begin 

• Upload all documents under the Documents tab.
• Ensure the requirement list is generated.

Steps

1. Open your technical file and go to the Requirements tab.
   
2. Locate the requirement you want to link a document to.
   
3. Click the Link to Document icon next to the requirement.
   
4. Select the relevant document(s) from the list of uploaded documents.
   
5. Click Save or Save & Fulfill to confirm your choice:

• Blue button – Document is relevant but not enough to provide complete proof for the requirement. For example a test report was provided for the product in white color, while the technical file contains the product in black and white. A test report for the black item also needs to be added, before the requirement is completely fulfilled.
• Green button – Requirement is fulfilled.

A paperclip icon is added to the overview, click it to see the linked document:

Tips and best practices 

• Use clear, descriptive document names (e.g., “CE Declaration – Adapter.pdf”) for easier identification.
• It is also possible to link multiple documents to multiple requirements at once. Select the related requirements and click the Link to documents button. 
• It is recommended to always add a remark when using the blue button for linking. In the future you can easily remember why you didn't link the document as fulfilled.
• Regularly review links after updating or replacing files.
• For bulk operations, use MatchIt instead of manual linking to save time and to reduce errors.
   

Troubleshooting

• Can’t find your document? 

Verify it’s uploaded under the Documents tab.

• Link button inactive? 

Check that you have editing rights for the product file.

• Document doesn’t appear under the requirement? 

Refresh your browser or clear your cache.

• Can I link multiple documents to a single requirement?
  Yes, you can attach several documents if they jointly provide the required compliance proof.

• What happens if I delete a linked document?
  Deleting a document removes its link from all associated requirements automatically.

• Can MatchIt link all requirements automatically?
  MatchIt suggests and links documents based on similarity rules. You can review and approve the matches before finalising.
