Use ProductIP to collect the supply chain and origin data, review evidence and assess the risks to comply with the EU Deforestation Regulation (EUDR).
When relevant, you must submit a Due Diligence Statement (DDS) before placing the product on the EU market.
This guide explains how to enter your company details, select your EUDR role, collect supplier information and submit or verify a Due Diligence Statement (DDS).

Steps
1. Add your company EUDR information
- Go to the wrench icon in the right corner.

- A menu pops up, click on Company account.
- Click on Edit contact information and enter your company’s EORI number and the EUDR organization size.
- Click Save.
2. Select your role and activity for the product
- Click on the Technical files tab and select your product.
- Click on Edit product data in your product technical file.
- Open the EUDR organization type dropdown menu and select the EUDR supply chain role that describes your company.
- Open the EUDR activity type dropdown menu and select Domestic, Import or Export, depending on your activity.
- Complete any information relevant if you have not already done so.
- Click Save.
Different roles are shown in the EUDR activity type section:
- Domestic: when an operator places a new relevant product that was produced or manufactured in the EU onto the EU market
- Import: when an operator imports a relevant product from outside the EU
- Export: when an operator exports a relevant product from the EU to a non-EU country
3. Collect your EUDR information
Open the relevant technical file and send an EUDR Verifeyer form to your supplier. Use the form to request the supply chain, origin and supporting information needed for your EUDR assessment.
Access the EUDR Verifeyer form: Open a Verifeyer form
Request information: Send a Verifeyer form
4. Review the evidence and assess any risks
Review the EUDR Verifeyer form returned to you by your supplier.
- Open the completed EUDR Verifeyer form under Documents in the relevant technical file. You can recognise it quickly by the blue eye icon on the left side of the documents.

- Check whether the supplier has provided the required product, origin and supply chain information.
- Identify missing or inconsistent information and request clarification or additional evidence to complete the EUDR Verifeyer form.
5. Submit a Due Diligence Statement (DDS) when required
Under the Documents tab of the technical file, you can submit the DDS. Click on the icon on the right side and select Submit.

6. Review the DDS submission result
Check the coloured status circle on the left side of the document to see the result of your DDS submission.
- Green: The DDS is available in TRACES. Open the details by clicking on the green circle to view the reference and verification numbers.
- Red: The request was not successful. Open the details by clicking on the red circle and reading the error message.
If the messages identify missing or incorrect source data, correct that information and follow instructions for resubmission. When other errors are indicated, please contact ProductIP by sending an email to helpdesk@productip.com.
A colour does not indicate whether or not the product meets the EUDR obligations and is simply a systems status indication to indicate a successful or failed submission of the DDS.
7. Review a supplier’s DDS in TRACES
If you are an EUDR first downstream operator or EUDR first downstream trader, you need to verify the validity of the DDS that your supplier has provided you with.
Click on the icon to start the verification process:
A yellow circle will appear instead of a green circle indicating that the verification is in progress.
Tips and best practices
- Check your EUDR role first. Select the correct EUDR organization type and activity type before collecting supplier information. Your responsibilities depend on your role and company size.
- Use existing data first, then identify gaps.
- Prioritise missing information. Focus first on gaps that have the greatest impact on EUDR compliance and risk assessment.
- Complete missing data step by step using the EUDR Verifeyer form.
Troubleshooting
- The EUDR Verifeyer form is not available.

- My DDS submission shows a red circle.
Click the red circle to view the error message. If the error identifies missing or incorrect source data, correct the information and follow the resubmission instructions.

FAQ
- What are our responsibilities in this process?
Your EUDR responsibilities vary depending on your supply chain role and company size. If you are an operator, you have more obligations than if you are a trader or a downstream operator. Obligations may include collecting product and supply chain data, assessing the risks, and collecting further information showing how the EUDR risks are mitigated, and submitting a Due Diligence Statement.
If you submit a Due Diligence Statement through ProductIP, ProductIP acts as per Art. 6 of EUDR.
The operator retains responsibility for the compliance of the product.
- My DDS submission shows a green circle. Does this mean my product is compliant?
No. A green circle confirms that the DDS is available in TRACES. It does not confirm that the product meets all EUDR obligations.
